Job Description


We are seeking a senior executive assistant to support the publisher/CEO of our leading international children’s publishing group.  The successful candidate will enjoy performing to the highest standards of professionalism and effectiveness, being willing to perform all tasks and troubleshoot problems as they arise, maintaining poise and good humor, in an environment that is often fast-paced and chaotic. The assistant will provide efficient and effective executive assistant support and be responsible for all personal and business support to the executive, within clearly defined procedural guidelines and own initiative in order to deal with day to day operational issues. Keeping related business transactions and correspondence personal and confidential is vital. Tasks will include but not be limited to: scheduling meetings; managing emails; coordinating extensive domestic and international travel; taking minutes at meetings; expense reporting; and acting as a liaison to staff, authors, illustrators, and agents.

 

Discretion, maturity, diplomacy, discernment, the ability to successfully juggle many simultaneous tasks, keen emotional intelligence, kindness, and a sense of humor will be invaluable qualities to bring to the job. Completing work accurately and in a timely fashion with a demonstrated ability to maintain classified, personal communications and files as well as exemplary planning, research and executive support skills are required. Performing to the highest level of discretion is mandatory. Some travel to the UK will be required as will occasional travel to domestic locations, including New York.

 

The ideal candidate will have a friendly, professional, and poised demeanor and will possess the ability to: use discretion in handling all matters/material - confidential or routine; perform efficiently under pressure; "read" a situation and respond appropriately; work independently and complete assignments efficiently; and work in a fast-paced environment comfortably. Excellent integrity and ability to demonstrate good moral character and initiative is necessary. Great orientation to detail, a strong sense of scheduling and prioritization, outstanding people skills, telephone manner, and communication skills along with excellent typing, spelling, grammar, and punctuation skills is also required. Strong proficiency with MS Excel, MS Word, MS Powerpoint, and Outlook is required. A minimum of 8 years of executive support experience is necessary. This role dictates that the individual be a quick learner and be resourceful, extremely organized, proactive, detail-orientated and a strong team player in working with, and serving as a potential mentor to, other staff.

 

This is a full-time, in-house position primarily based in our Somerville, MA office.
