We have an immediate opening for a Patent Assistant to join our team!  The Patent Assistant provides high quality administrative support responsible for the formalities associated with the filing and prosecution of new patent applications, both foreign and domestic.    Maintains effective and efficient work flow and good working relationship with all staff members.

It is essential that this person be a self-starter and able to work well both in a team environment as well as independently. This role is expected to be a substantive contributor to the outcomes described and must ensure that client service and client satisfaction are attained in all areas. In addition, in accordance with the firm’s Client Service Initiatives, the Patent Assistant must display good judgment and effective interpersonal communications on a consistent basis.  Confidentiality and discretion are also required consistently.

ESSENTIAL JOB FUNCTIONS:

  • Prepare legal documents specific to practice group.
  • Prepare correspondence reporting the issuance of Letters Patents, Assignment Recordations, Notices of Publications, and Official Filing Receipts.
  • Occasional overflow assistance, to include preparing preliminary and other amendments, information disclosure statements, issue fees, missing parts, priority documents, declarations, and certificates of correction, petitions, appeal briefs, notice of appeals, and all other documents relating to patent, in addition to daily correspondence.
  • Overflow assistance in preparing USPTO filings, such as responses to Office Actions.
  • Ensure physical filing of all correspondence performed, including official responses.

OTHER JOB FUNCTIONS:

  • Monitor docket calendars and notify attorneys and docketing personnel when updates are necessary for CPI. 
  • Serve as a back-up to team members as required. 
  • Assist IP Legal Assistants with overflow work.

KNOWLEDGE, SKILLS & ABILITIES:

  • Must be proficient with filings using the USPTO’s Electronic Filing System.
  • Working knowledge of IPDAS (Intellectual Property Document Assembly System) is highly desired.
  • Strong Microsoft Office Skills (Outlook, Word and Excel).
  • Excellent organizational skills with strong attention to detail.
  • Excellent verbal and written communication skills including clear and concise telephone and email etiquette.
  • Strong proofreading skills.
  • Ability to take initiative and be proactive.
  • Possess strong interpersonal skills with ability to build strong relationships.
  • Ability to multi-task and prioritize work from multiple people simultaneously and successfully, many with tight deadlines.
  • Able to follow instructions accurately and keep others informed of progress.
  • Accepts ownership of projects and is successful in driving projects, as well as daily tasks, to a successful conclusion.
  • Proven experience in consistently meeting deadlines.
  • Ability to adjust and adapt quickly to changing situations.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High School Diploma required.
  • College degree or Legal Assistant Certification is not required, but is considered a plus.
  • Minimum of 2 years of patent prosecution experience required.
  • Experience in a law firm environment desirable.
