Our client, an international company that deal with the removal of hazardous waste and who are a world leader in CBRNe risk mitigation, are looking to recruit a Marine Project Coordinator to support the Marine Project Manager and the Marine Services Commercial Coordinator in the delivery of a full project management service.
Key responsibilities include:
• Selecting, negotiating and purchasing equipment for projects in accordance with authority limits.
• Entering and raising Purchase Orders.
• Adding suppliers to internal databases and sending-out supplier questionnaires.
• Generating contracts for casual workers, ensuring signatures and maintaining contract files.
• Keeping all project manning schedules up-to-date.
• Organising hotel and travel arrangements for deployed staff.
• Reviewing and approving time sheets and expense claims of deployed staff.
• Coordinating the Preparation of Site/Vessel Safety Instructions as well as Tool Box Briefings.
• Processing project-specific documentation for deployed personnel.
• Providing the point of contact for all project queries in the absence of Management.
• Ensuring that all project-related incoming and outgoing correspondence is dealt with appropriately.
• Participating in project reviews together with management and finance, providing input into cash collection and accrual process.
• Supporting creation of all project related reports (e.g. letter reports, survey reports, etc.)
• Collecting & collating of all required information
• Handling master MS Word files for reports
• Preparation of invoices and valuations.
• Getting internal approvals for invoices
• Sending invoices to clients and entering into finance system
• Ensuring and reviewing collection of cash
• Investigating invoicing issues with clients’ sales, operations and accounts departments
• Providing support in the preparation of tenders / proposals. (E.g. presentations in MS PowerPoint/approved supplier questionnaires, etc.)
• Supporting the conversion process from SEs to Internal Orders (INOs)
Essential knowledge/experience:
• Experience in sales and/or operational project management
• Invoicing, credit control and/or collecting cash
• Purchasing experience (assets / manpower) for projects
• Coordination of multiple projects
• Excellent MS Office skills (Word, Excel, PowerPoint, Outlook)
• Excellent communication skills
• GCSE/O’Level or equivalent in English & Maths
Knowledge/experience in the following is desirable, but not essential:
• Working knowledge of Marine Industry Services & Practices
• Working knowledge of EOD industry services
• Experience of working within a fast paced multi-project operational environment
• Experience of writing reports, contracts, work instructions and/or proposals
• Knowledge and experience within the construction industry
• Experience with overseas projects
• GCSE/O’Level or equivalent in English & Maths
