Job Description

The Conference Specialist will be an experienced, take-charge professional with ability to manage event administration and logistics. He or she will provide outstanding customer service, be an enthusiastic professional, and be able to think on his or her feet and build relationships with internal and external customers supporting a Federal Government agency with meetings, conferences and related events. Manages all aspects of events to include reservations, technical requirements, staffing and coordination with security and fire safety personnel and other providers. Ensures the availability of meeting space, schedules appropriate venue, supports and promotes meetings and events, seminars, conferences and services for campus organizations.

ESSENTIAL DUTIES: Ensure compliance with Agency meeting policy, access and security guidelines.

  • Provide event A/V support services and performing administrative tasks as directed by the team lead.
  • Inspect and monitor facility conditions to ensure attendee and employee safety.
  • Ensure adequate logistics are in place: coordinate set-up, audio/visual, food/beverage, stage and other crews accordingly.
  • Research availability of meeting space in the various facilities.
  • Coordinate use of outside vendors supplying audio/visual capabilities, catering and general meeting planning services.
  • Ensure all scheduled resources for events are in place in time, at scheduled location
  • Ensure all aspects of conferences and events are implemented and controlled according to event planning.
  • Manages logistics and operations of conferences and events, and responds to emergencies, problems, etc.
  • Other duties as assigned.

EDUCATION & EXPERIENCE:

Associates degree in event management, public relations, marketing or related field
A minimum of 2 years of professional event planning experience preferred.

  • Experience managing event in ScheduAll or related event reservation system
  • Evidence of certification in event management (CMP, CESP, etc.) preferred.
  • Excellent communication skills, including writing, proof reading and speaking:
  • Exceptional organizational skills with the ability to manage multiple projects and work assignments.
  • Excellent interpersonal skills both in person and by phone
  • Ability to be creative and accomplish projects with little supervision
  • Superior customer service ethic and high expectations for quality
  • Proficient using the latest versions of Microsoft Word, Excel, Outlook email and web searches.
  • Provide A/V support using WebEx or other meeting conference software, preferred.
