SUMMARY:

 

Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

 

DUTIES AND RESPONSIBILITIES:

 

  1. Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
  2. Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
  3. Schedule appointments and maintain and update appointment calendars.
  4. Hear and resolve complaints from customers or the public.
  5. File and maintain records.
  6. Assist in end-of-day invoicing and other related duties.
  7. Assists with ordering, receiving, stocking and distribution of office supplies.
  8. Other duties as required.

 

MINIMUM JOB REQUIREMENTS:

 

  • High School diploma or GED
  • Minimum two (2) years of experience

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

 

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures.
  • Knowledge of principles and processes for providing customer and personal services.  This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
  • Knowledge of Microsoft Word, Outlook, Excel, and PowerPoint.
  • Active Listening – giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate.
  • Speaking -- talking to others to convey information effectively.
  • Speech Recognition –The ability to identify and understand the speech of another person.
  • Speech Clarity – the ability to speak clearly so others can understand you.
  • Written comprehension – The ability to read and understand information and ideas presented in writing.

 

WORKING CONDITIONS:

 

  • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

  • Computer: Data entry software, interface and query software
  • Copier, fax machine and standard office equipment 
  • Postage machines
  • Multi-line switchboard
