We are currently seeking a Sales Administrator to be located in Coppell and report to the Claims Manager. The primary responsibilities will include validate and research vendor invoices, customer relations, billing, capturing orders, and audit requests.

Key responsibilities include but are not limited to the following:

  • Validation and audit compliance
    • Research and validate customer's or vendor's invoices to ensure authorized promotional and non-promotional spending
    • Ensure settlements are in compliance with Nestle Accounting Standards
  • Process settlements for Retail direct and indirect customers, and Retail vendors
    • Preparation and input of check, deduction, or credit memo payment requests in the trade promotions management system / SAP accurately and timely
    • Timely and accurate scanning of settlement documentation into SAP Dispute Management
    • Identification and collection of unauthorized deductions
  • Provide information to Retail business partners as needed
    • SAP/Trade promotional management system reporting (volume and/or spend)
    • Research pending and settled check requests, deductions, and credit memos per customer, sales, and audit requests
    • Identify and communicate customer trends and behaviors, including process improvement opportunities to reduce re-work and maximize productivity
    • Ad-hoc reporting and documentation assistance on as needed basis
    • Audit and compliance requests for information
  • Key Measures
    • Month End Unresolved Balance (Total balance against goal and percent greater than 90 days old)
    • Month End Unresolved Occurrences (Total occurrences and percent greater than 90 days old)
    • RCS Audit Compliance
    • SAP Dispute Management Accuracy
    • SAP Dispute Management - Scanned documentation
  • Linkages/Hand-Offs (with other parts of the organization)
    • Retail Sales
    • This position is will interact extensively with Retail Sales in all areas of customer administration
    • Retail Customer Services
    • This position will interact extensively with Business Analyst, Customer Service Coordinators, A/R Analysts, Remittance Analysts and Deduction Analysts.
    • Supply Chain
    • This position will interact with Customer Supply Chain Managers to identify and resolve customer trends
Key qualifications include:
  • Undergraduate degree strongly preferred
  • Availability / flexibility to work different shifts based on customer geography/time zone; or 7 day operations
  • EXPERIENCE:
    • 3-5 years of comparable work in the consumer products industry or with food/beverage broker. Trade promotion experience preferred
  • SKILLS:
    • Detail oriented
    • Excellent written and verbal communication skills
    • Experience resolving crisis and time sensitive events
    • Excellent analytical aptitude with a proven ability to analyze/interpret data
    • Well-organized, methodical thinker with excellent decision-making skills
    • Strong and creative problem-solving skills
    • Proficiency in Microsoft office applications (e.g. Word, Excel, Outlook)
    • Proficiency in SAP, BW and Business Objects preferred
    • Ability to work in a fast paced, high volume transactional, environment and handle multiple priorities
    • Ability to work independently with minimal supervision
  • OTHER PERSONAL QUALITIES:
    • Strong Customer Service mindset and passion for delighting customers internally and externally
    • Ability to build effective relationships with business partners
    • Proactively seeks continuous process and service improvements
    • Must enjoy working in a team-based environment
