THE ROLE

Under the direction of the Academic Dean, the Course Scheduler and Academic Program Coordinator (“Course Scheduler”) is responsible for supporting the Academic Dean and Academic Dean’s Office’s efforts to recruit, appoint and schedule classes for new and returning faculty members. Scheduling classes is the core of the job, but the Course Scheduler also has other duties relating to the academic program as needed in the Academic Dean’s Office, including participating on faculty committees relating to the curriculum, scheduling and supporting faculty meetings, and maintaining key academic documents including the Course Catalog, the Academic Regulations and the Faculty Rules.

Typical duties and responsibilities consist of, but are not limited to, the following:

  • Developing and scheduling approximately 400 courses annually
  • Assist the faculty Curriculum Committee in developing and tracking courses;
  • Preparing reports, special studies and college surveys for both internal and external use
  • Coordinating and updating various academic publications such as the Course Catalog, Academic Regulations and Faculty Rules
  • Maintaining faculty online profiles
  • Working on special academic projects
  • Tracking faculty sabbaticals and leaves
  • Organizing faculty meetings, including taking minutes and collecting and distributing materials and reports
  • Tracking and inputting information into the adjunct database • Assisting with processing teaching contracts
  • Backing-up reception to include front office coverage, answering telephones, coordinating meetings and calendaring
  • Other duties and responsibilities as assigned

REQUIREMENTS

Education & Experience:

  • Minimum of 2 years of significant responsibility for course scheduling
  • Minimum of 3 years of administrative or academic program support in an academic environment

Knowledge, Skills & Abilities:

  • Ability to interact with faculty, committees, staff, students and the general public
  • Ability to effectively communicate
  • Possesses strong organizational skills, is detailed-oriented and able to manage and track multiple projects, priorities, assignments, deadlines and activities
  • Advanced Microsoft Office Suite including Word, Excel, Outlook, PowerPoint and Adobe Acrobat; knowledge of database programs a plus
