What You'll Do
Cisco seeks an Executive Administrative professional to provide dedicated support to the Vice President and Deputy General Counsel, Product Legal, located in San Francisco, CA.
Responsibilities include:
Calendar Management: coordinating and managing VP's complex calendar and daily schedule to include prioritizing conflicting meeting requests and high priority matters, working cross-functionally, including with other executive assistants, tracking action items and commitments of principal and following-up to ensure completion. This work will require exceptional organization skills, juggling multiple priorities and keeping a busy principal on track and on schedule.
Meeting Planning and Organization: assisting principal in planning and organizing meetings by taking responsibility for: agenda, location, resources, participants, technology requirements, preparing briefing documents (e.g. "face book"), taking and disseminating notes, formulating post meeting action item lists and all other meeting logistics.
Travel and Expense Management: travel planning and coordination of travel logistics, including reservations, agenda, and creation of travel briefing documents. Managing principal’s expenses.
IT & Technology Issues: driving resolution of any technical problems encountered by principal with cross-functional teams.
Communication and Approvals: supporting principal as a proxy for communications and approvals as authorized. Answering general questions as necessary, referring (filtering) routine matters to appropriate parties, and following up to ensure proper disposition. Taking initiative to resolve problems within specified policies and guidelines. Determining when executive action is required and supplying a recommendation where appropriate.
Organizational Infrastructure: developing, maintaining, and refining principal and team organizational documentation in O365 and other web tools, including agendas, action lists, meeting information, team records, training documentation, preparation of reports and communications.
Team: ad hoc support as needed to the principal’s direct reports and team at principal’s direction, as well as assisting and providing back-up support for other administrators in the Legal team and their principals.
Special Projects: providing support to assist principal on special projects.

Who You'll Work With
The principal (hiring manager) leads the Product Legal team of ~70 global legal professionals (lawyers and non-lawyers) that are a part of the larger 450+ person Legal team. The principal reports directly to Dev Stahlkopf, Cisco’s EVP and Chief Legal Officer.
What You’ll Bring
You have high-energy with a passion for problem solving, creative thinking and teamwork. This position requires strong interpersonal skills, independent judgment, utmost professionalism and ability to balance both strategic and tactical actions. Minimum requirements for this role include:
EA or equivalent experience; 8+ years’ experience in an administrative environment. A minimum of 4 years working at the executive level
Preferred: BA/BS or equivalent experience; past work experience in the tech industry
Impeccable organizational skills and focus on detail
Expert level knowledge of O365 applications: Word, Excel, PowerPoint, One Drive and similar tools.
Experience in complex meeting and schedule planning and travel coordination
Ability to navigate web and email at high competency level
Ability to multi-task, balance priorities and adapt to a fast paced, dynamic environment
Excellent verbal and written communication skills, including the ability to communicate with all levels of executives/senior staff and clients
Ability to be self-directed where appropriate and take initiative on routine tasks
Problem solving skills, creative thinking and a positive attitude
Ability to work as a team with principal, principal’s team and other members of the EA community
Sound judgment
Advanced desktop calendar management program experience
Sense of humor
Some project management experience a plus
