Department Statement:
The Office of Equity and Diversity (OED) leads Colgate University efforts in building and fostering an inclusive campus climate that empowers all members of our community values our diverse and intersecting identities and affiliations. The OED works collaboratively across campus to address and eliminate institutionalized forms of bias and is a leading voice in the shaping and reshaping of Colgates strategic plan for Diversity, Equity, and Inclusion as part of Colgates Third Century Plan. The Universitys commitment to diversity means understanding that each individual is unique and appreciating our differences enriches our campus culture and the quality of campus life. The OED also oversees and ensures compliance with policies and laws relating to affirmative action, discrimination and harassment.

Accountabilities:
This position is responsible for contributing to the University's strategic diversity, equity and inclusion values and initiatives by promoting and maintaining administrative support if the Office and creating an inviting and safe environment for all individuals and being responsive to those looking for resources and support, including those who might be disclosing confidential, sensitive or traumatic information.
Reporting to the Vice president for Equity and Inclusion, the Assistant to the Vice President's responsibilities seek to:
  • Coordination of the daily and ongoing operations and efficient administration of procedures and processes central to the Office.
  • Maintain discretion and confidential information.
  • The ability to work independently and respond in a timely manner to requests for information and refer to other resources as appropriate; manage calendars, itineraries, events, travel arrangements, contacts and correspondence of division/function and coordinate with vendors and service providers.
  • Maintain complex and critical administrative data sets, editing and formatting complex and confidential documents and producing both standard and complex reports.
  • Monitor office budgets and supplies, which may include researching services and pricing, processing quotes, creating PO's and requisitions and submitting for timely payment.
  • Partner effectively with colleagues and stakeholders across campus and other duties as assigned.


Professional Experience/Qualifications
  • A minimum of three years of administrative experience with progressive responsibilities is required.
  • Requires keen interpersonal skills and exceptional judgment to facilitate collaboration and communication among diverse groups while exercising discretion and judgement with respect to confidential documentation.
  • Ability to multi-task, adapt to changing priorities.
  • Demonstrated excellent written (including editing and proofreading) and oral communications skills, including the ability to deal effectively with a wide range of constituencies, both internal and external.
  • Proven ability to produce tasks in accurately and on time.
  • Advanced proficiency with MS Office (Word, Excel, and PowerPoint).
  • Demonstrated planning and organizational skills.
  • Requires a high level of professionalism and discretion

Preferred Qualifications
  • Experience supporting the strategic or operational work of diversity, equity and inclusion in higher education, not for profit or government setting.
  • Experience recognizing individuals who are in distress and experience in deescalating tension or conflict.
  • Experience with coordinating complex travel arrangements, managing complex scheduling/calendars.
  • Experience with drafting professional correspondence.


Education
A Bachelors degree is preferred, or a combination of education and experience from which comparable skills are attained.
